What is the difference between a reservation and a folio?
A reservation is the advance booking — it records the guest name, room type, dates, rate, and special requests before arrival. A folio is the financial account that opens at check-in and collects all charges during the stay. A confirmed reservation automatically populates the folio at check-in so no data needs to be re-entered.
How does the availability calendar handle different room types?
The availability calendar shows a colour-coded grid of all room types and individual rooms. Each cell represents one room for one night and shows its status: available, reserved, checked-in, blocked, or under maintenance. Agents click to create a reservation, drag to move it to a different room, or extend a stay by dragging the end date.
Can guests book directly through the hotel website?
Yes. The booking engine embeds on your hotel website as a standard widget. Guests select dates, see live availability and rates, and confirm the booking without agent involvement. The reservation appears instantly in the availability calendar and a confirmation email is sent automatically.
How do you prevent double-bookings when using multiple channels?
The system maintains a single source of availability. When a room is reserved through any channel — direct, OTA, phone, or walk-in — it is immediately marked unavailable everywhere. OTA integrations sync availability in real time to prevent overbooking.
What rate plans can we configure?
You can set up unlimited rate plans: rack rate, weekend rate, seasonal rate, early bird, last-minute, corporate contract, travel agent rate, and package rates bundling room with breakfast or activities. Rates are set per room type, per date range, or per minimum stay length and can be restricted to specific channels.
How do automated confirmation emails work?
When a reservation is confirmed the system sends a branded confirmation email with booking summary, check-in instructions, hotel address, and contact details. A pre-arrival reminder is sent 24–48 hours before check-in. A thank-you email with a review link goes out after check-out. All templates are customisable.
Can we require a deposit or prepayment at booking?
Yes. Deposit policies are configured per rate plan — for example, 50% prepayment at booking for non-refundable rates or 100% for peak season. The system tracks deposit status on each reservation and alerts the front desk if a guest arrives without a confirmed deposit.
How do we manage cancellations and the cancellation policy?
Each rate plan has its own cancellation policy — free cancellation up to 7 days before arrival, 50% charge within 3 days, or non-refundable. When a guest cancels, the system applies the correct policy and calculates any cancellation fee. Cancelled reservations are logged with timestamps and reason codes.
