What is the difference between a warehouse and a storage location?
A warehouse is the top-level entity — the hotel main store. Within it you define specific locations: housekeeping store on floor one, kitchen dry store, bar stock room, linen room, and so on. Movements between locations are recorded as internal transfers, giving a complete record of where every item is at any moment.
How is hotel linen tracked when it is constantly in circulation?
Linen is tracked by batch rather than individual item. The system tracks how many units of each linen type are in the laundry, issued to housekeeping, clean in the linen store, and in maintenance for repair. Regular physical counts reconcile theoretical quantity against what is on hand and highlight any shrinkage.
Does the system automatically alert us when stock runs low?
Yes. Each product has a configurable reorder point. When stock falls to or below this level the system generates a purchase request automatically and alerts the purchasing manager. No manual checking is required — the system monitors stock continuously.
How do we manage perishable food and beverage ingredients with expiry dates?
Perishable items are tracked by lot number with an expiry date recorded at goods receipt. The system applies First Expired First Out to ensure older stock is used before newer stock. Items approaching expiry are highlighted in the dashboard and a weekly expiry report helps the kitchen team reduce waste.
How are departmental supply costs tracked and allocated?
When stock transfers from the main store to a department — toiletries to housekeeping, cleaning supplies to the restaurant, stationery to front desk — the cost is allocated to the receiving department cost centre automatically. Each department sees exactly what it spends on supplies in the departmental profit and loss report.
Can we track the total value of inventory on hand?
Yes. The inventory valuation report calculates the value of all stock using standard cost, weighted average, or FIFO. The total shows by product category, storage location, or department and flows directly into the balance sheet as a current asset, updated in real time.
How do we run a stock count without shutting down hotel operations?
The system supports cycle counting — counting a subset of products on a rolling schedule. Counts are scheduled by category or location.
